This article is for agency administrators. Open Admin in the top bar to reach the Admin portal. Its tabs are grouped under Organization, Quality, Integrations and Operations.
First-time setup
The first time an administrator signs in, CaseSync opens a six-step Get started wizard: agency profile, a sample chart, a preview, worksheets, your first reviewer and your first amend request. You can skip any step and come back to it.
Adding people
Go to Organization → Users & roles.
- In Create user, enter the person's name, email, credential and license number.
- Tick the roles they need: Field paramedic, QA reviewer, QA Lead, Supervisor, Medical Director or Admin.
- Select Create user. CaseSync creates their sign-in, and they get an email with a temporary password.
Changing roles
In the Users table, tick or untick a role. The change saves as soon as you click it and takes effect on the person's next action.
Offboarding someone
Select Deactivate next to the person. They can't sign in from that point. Their history stays, and you can Reactivate them later.
Use Reset password if someone can't sign in with their password.
Who may grade skills checks
Grading permission isn't a role. Grant it under Quality → Competency checklists, in the Who may grade card: choose the person and select Grant. Select Revoke to remove it. Revoked grants stay on the list, so you can always see who could grade and when. Medical Directors can grade without a grant.
Agency tier and modules
Go to Organization → Agency tier. Each switch saves when you click it.
- Data sources. Turn Body cameras, Monitor import and CAD import on or off independently. An agency can import monitor or CAD data without using body cameras.
- Product modules. Turn on the modules your agency uses: QA review, Narcotics tracking, Peer review, Investigations, Training and others.
The same tab sets your controlled-substance witness policy.
Assigning reviews automatically
Go to Quality → Smart routing.
- In Auto-assign reviewers, tick Enable auto-assignment.
- Choose a strategy: send each chart to the reviewer with the fewest open assignments, or follow your routing rules first and fall back to the least-loaded reviewer.
- Optionally limit the pool to certain reviewers, then select Save.
CaseSync never assigns a paramedic to review a call they ran. Reviewers can still assign and claim charts by hand.
Routing rules live in the same tab. Each rule says which charts it matches and where they go: a specialty reviewer, a senior reviewer, a named reviewer, the on-duty supervisor or the least-loaded reviewer. Rules run in priority order, and the first match wins. Every change keeps a version history.
Getting help from VeriMedic
Go to Operations → Help desk, or select ? in the Admin portal header. Enter a subject, choose a category and describe the problem, then select Submit ticket. The ticket stays on your agency's record, and our support team is notified. See Getting help.
