Getting started with CaseSync

CaseSync brings a call's evidence together in one place: the chart, the CAD record, the monitor data and, where your agency uses them, body-camera clips. Paramedics use it to review and confirm what happened before they finish charting. Reviewers use it to grade charts and follow up with paramedics. Supervisors and administrators use it to run the agency.

Getting an account

Your agency administrator creates your account. There's no self sign-up. When your account is ready, you'll get an email with a temporary password.

Signing in

  1. Go to your agency's CaseSync address and select Log in.
  2. Read the Terms of Use and tick the box to agree.
  3. On the secure sign-in page, enter your email and password.
  4. Enter the six-digit code from your authenticator app.

The first time you sign in, you'll choose your own password and set up an authenticator app, such as Google Authenticator, Microsoft Authenticator or 1Password. CaseSync requires one. Text-message codes aren't available.

If you forget your password, use Forgot your password? on the sign-in page. If you've lost your authenticator, contact your agency administrator.

CaseSync signs you out after 15 minutes without activity. Two minutes before, it warns you. Select Stay signed in to keep working.

Roles

What you see depends on your role. Your agency assigns roles on its roster.

Role What it's for
Paramedic Review your calls, confirm and sign your chart, respond to QA findings, record narcotics activity.
QA Reviewer Grade charts and send findings to paramedics.
QA Lead Everything a reviewer does, plus routing reviews and managing QA workflows.
Supervisor See crews on shift, narcotics activity, investigations and dashboards.
Medical Director Review outlier findings, attest competency checklists, oversee clinical quality.
Admin Manage the roster, agency settings and modules.

Some people hold more than one role. If you do, pick the role you're acting as from the menu next to your agency name at the top of the screen. You act as one role at a time.

Finding your way around

Each role starts on its own home screen:

  • Paramedic Home shows what to do next and tiles for your calls, QA findings, narcotics and development.
  • QA Home shows findings to review, paramedic responses, overdue reviews and charts that need matching.
  • Supervisor Home shows live crews on the road.
  • Medical Director Home opens on outlier review: higher-severity findings grouped by clinical impression.
  • Admin Home shows key numbers and any dashboards your administrator pins there.

The links across the top take you to the main areas for your role. Less-used pages are under More. Some links appear only if your agency uses that module.

Settings

Open More → Settings to choose which notifications you get by email or text, turn the daily QA summary email on or off, and reset your password. Paramedics can also keep personal narrative templates there.
