Narcotics tracking

CaseSync keeps a custody record for every controlled-substance unit your agency stocks: who took it out, who gave it, who wasted it and who saw it happen. Entries are added in order and linked together, so a gap or a change shows up. Nothing on the record can be edited or deleted.

Select Narcotics in the top bar to open it. Your agency must have the narcotics module turned on.

For paramedics

My Narcotics shows two things:

  • Today's count — my unit. Your unit's kit and where its count stands. If CaseSync doesn't know your unit yet, start your shift from Shift Start.
  • My CS trail. Every administration, waste and safe-open recorded under your name, with the witness and, where your agency uses body cameras, whether a clip covers it. Each row reads Clean or Needs attention.

The My CS tile on Paramedic Home shows the same trail. Keep an eye on it. A clean trail is your best answer if anyone ever questions an entry.

Entry types

Each entry records one custody event: a safe open or close, a check-out, an administration, a waste, a return, a restock, a transfer, a destruction or a seal check. Each one names the medication, the amount and the person.

Witnessed entries

A waste needs a witness, and so do transfers, destructions and counts. The witness must be a different person from the one recording the entry. CaseSync won't let you witness your own.

  1. Choose a witness from ask a witness (≠ you) and select Request witness.
  2. The witness gets the request under Witness requests for you. They select Attest…, read the statement and select Attest as witness, from their own sign-in.
  3. The entry goes on the record only once the witness attests.

A request expires after 30 minutes. You can cancel your own request while it's pending, and the witness can decline.

Attest only to what you saw. A witness signature is made as yourself and can't be changed afterward.

Counts

To record a count, select Record count (request witness), enter what's actually in the kit and ask a second person to sign. The count isn't recorded until they attest.

CaseSync compares the count with what the ledger says should be on hand. That's the expected amount, and it isn't the same as par. Par is the stocking level, and it's shown separately.

  • A count that matches is marked Counted to par.
  • A count that doesn't match is marked Short or Over. That's a discrepancy.

Discrepancies

When a count doesn't match, CaseSync opens an investigation right away and notifies the people your agency has set up to receive it. The investigation is where the discrepancy gets worked out and closed.

If something was recorded wrong

Entries can't be edited or deleted. If an entry is wrong, tell your supervisor. Any correction is recorded as a new entry, and the original stays on the record.

For supervisors and administrators

The Narcotics screen shows the whole agency: safe opens, administrations, witnessed wastes, daily counts, inventory and expiry by kit, and a reorder queue. Where your agency uses body cameras, it also shows which actions are backed by video, and lets you Escalate to investigation when one isn't.

Administrators manage kits there too: apply or re-seal a seal, adjust, retire a kit, and see its history. A kit can't be retired while it still holds units.
